Project Coordinator

We are seeking an ambitious and self-motivated individual that is willing to go above and beyond to provide high-quality work under tight timelines in a fast-paced environment. The Project Coordinator supports the Account Manager/Account Director and helps with coordinating and organizing of all projects in the agency. The Project Coordinator is responsible for the coordination of meetings, updates to all project status sheets, routing/communication of marketing materials internally and externally, all updates in ProofHQ and prepping for meetings.

• Create a detailed project timeline with deliverables list and prepare comprehensive action plans with detailed action items for each team member to ensure that goals and objectives are accomplished on-time
• Coordinate, track and monitor work through all phases of the project
• Keep Managers and team makes informed of any blocking issues that will have an impact on the project status
• Assign tasks to teams and assist with schedule management, correspond and organize with Consultants and Vendors
• Maintain project documentation, notes, and records
• Attend weekly briefing meetings and communicate new project schedule to the team, add new projects in ProofHQ and status sheets
• Aid in updating weekly status reports and running status meetings
• Lead day-to-day development, routing, and approvals of all jobs
• Communicate and maintain updated project schedules and due dates to creative team
• Help organize and gather assets for projects as needed
• Provide suggestions to the Account Manager/Director for workflow optimization and communication improvement within the agency

• Able to meet deadlines, multi-task and be flexible with client needs
• Strong verbal and written communication skills
• Self-starter possessing agility and foresight to manage changing requirements
• Strong organization skills
• Experience with ProofHQ and Function Point is a plus
• Proficient in Microsoft Office

• Bachelor’s degree in related field
• 2-3 years of project management experience required
• 1+ year of marketing/advertising agency experience preferred
